Cancellation and Refund Policy

Coral Circuit ("we", "our", or "us") operates as a platform connecting customers with dive shops and experience providers. This Cancellation and Refund Policy outlines the terms and conditions for cancellations and refunds of bookings made through our platform.

Important: Coral Circuit acts as an intermediary platform. The primary responsibility for cancellations, refunds, and service delivery rests with the individual dive shops and experience providers (collectively referred to as "Vendors"). We facilitate transactions but are not directly responsible for the services provided.

1. General Refund Policy

Customers have a 7-day window from the date of booking to request a full refund, subject to the terms outlined below. After 7 days, refund eligibility is determined by the Vendor's individual cancellation policy.

2. 7-Day Refund Window

Within 7 days of booking:

  • Customers may request a full refund for any reason
  • Refund requests must be submitted through the platform or by contacting support@coralcircuit.com
  • Refunds will be processed within 5-10 business days after approval
  • The refund amount will be credited to the original payment method used

3. Vendor Responsibility

Vendors (Dive Shops and Experience Providers) are primarily responsible for:

  • Service delivery and quality of the diving experience
  • Safety standards and equipment provision
  • Cancellation policies beyond the 7-day window
  • Weather-related cancellations and rescheduling
  • No-show policies and late arrival handling
  • Partial refunds or credits for services not rendered
  • Resolving customer complaints related to service quality

4. Cancellation After 7 Days

After the 7-day window has passed, cancellation and refund terms are governed by the Vendor's individual policy, which may include:

  • Partial refunds based on cancellation timing
  • Credit vouchers instead of cash refunds
  • No refunds for cancellations within 24-48 hours of the scheduled experience
  • Rescheduling options subject to availability

Vendor-specific policies are displayed at the time of booking and in booking confirmations. Customers are responsible for reviewing these policies before completing their purchase.

5. Platform Role and Limitations

Coral Circuit's role is limited to:

  • Facilitating the booking transaction between customer and Vendor
  • Processing refunds within the 7-day window
  • Mediating disputes between customers and Vendors when requested
  • Providing customer support and assistance

Coral Circuit is NOT responsible for:

  • Service quality or safety standards of Vendors
  • Weather-related cancellations or force majeure events
  • Vendor cancellations or no-shows
  • Refunds beyond the 7-day window (these are handled by Vendors)
  • Equipment failures or safety incidents during the experience
  • Travel arrangements or accommodation related to the booking

6. How to Request a Refund

To request a refund:

  1. Log into your Coral Circuit account
  2. Navigate to your bookings section
  3. Select the booking you wish to cancel
  4. Click "Request Refund" or "Cancel Booking"
  5. Follow the prompts to complete your request

7. Refund Processing

Processing Times:

  • 7-day window refunds: 5-10 business days after approval
  • Vendor-processed refunds: Subject to Vendor's policy (typically 7-14 business days)
  • Refunds are processed to the original payment method
  • Bank processing times may vary by financial institution

8. Special Circumstances

8.1 Weather-Related Cancellations

Weather-related cancellations are the responsibility of the Vendor. Most Vendors offer:

  • Full refunds if the Vendor cancels due to unsafe weather conditions
  • Rescheduling options when available
  • Credit vouchers valid for future bookings

Contact the Vendor directly for weather-related cancellation policies. Coral Circuit will assist in facilitating communication but is not responsible for weather-related refund decisions.

8.2 Medical Emergencies

In cases of documented medical emergencies preventing participation, customers should contact both the Vendor and Coral Circuit support. Refund eligibility will be evaluated on a case-by-case basis, with primary responsibility resting with the Vendor.

8.3 Vendor Cancellations

If a Vendor cancels a booking, customers are entitled to a full refund. Coral Circuit will process the refund within 5-10 business days. Vendors may also offer alternative dates or experiences at their discretion.

9. Dispute Resolution

In the event of disputes between customers and Vendors:

  1. Customers should first attempt to resolve the issue directly with the Vendor
  2. If resolution cannot be reached, contact Coral Circuit support at support@coralcircuit.com
  3. Coral Circuit will review the case and facilitate communication
  4. Final resolution authority for post-7-day refunds rests with the Vendor

Coral Circuit reserves the right to suspend or remove Vendors from the platform for repeated policy violations or poor customer service, but does not guarantee refunds beyond the 7-day window.

10. No-Show Policy

If a customer fails to show up for a scheduled experience without prior cancellation:

  • No refund will be provided
  • The Vendor may offer rescheduling at their discretion
  • This policy is enforced by the Vendor, not Coral Circuit

11. Platform Fees

Any platform or service fees charged by Coral Circuit are non-refundable after the 7-day window, except in cases where Coral Circuit is at fault. Processing fees may apply to refunds processed outside the 7-day window, as determined by the Vendor's policy.
